Block time and manage closed dates
Create one-off teacher, room, or school blockouts and maintain school-wide closed-date ranges without overlooking existing appointments.
Blockouts require schedule-management access; school-wide Closed Dates are managed in Facilities settings according to permission.
Use a blockout for one-off unavailable time and Closed Dates for school-wide holidays or breaks.

Scheduling managers can create blockouts. People with the appropriate settings access can maintain school-wide closed dates under Facilities.
Before you start
- Decide whether the restriction applies to one teacher, one room, or the whole school.
- Check for overlapping lessons before saving.
- If a Calendar closure will cancel appointments, decide its credit treatment and notification choices before saving. The separate Closed Dates cleanup action in Facilities does not offer those choices.
Steps
- For a one-off block, select Calendar → Schedule, open the Enroll student quick-action menu, and choose Block out time. You can also use Block time from an open calendar slot.
- Under Blocks, choose Teacher, Room, or School, then select the specific teacher or room when needed.
- Enter Start date, End date, Start, and End, or turn on Full day. Add a clear Title and optional Notes.
- To preserve existing appointments, leave Cancel overlapping appointments off and select Save blockout.
- To create a closure that cancels existing appointments, turn on Cancel overlapping appointments. Choose Credit outcome, review Notify participants and Notify staff, and turn on Review each session when people need different treatment.
- Review every affected appointment and select Create closure only when the cancellation, credit, and notification impact is correct.
- For a planned school-wide date range, select Settings → Facilities → Closed Dates. Enter Start date, End date, and Label, select the plus button, then select Save closed dates.
- Review the active-appointment count shown under each saved range. Select the link ending in cancel all only when every active appointment in that range should be cancelled. Read the confirmation, then select the red cancellation button—for example, Cancel 3 appointments—only when you accept that no credits or notices will be created.
- Use Blocked Time in the same settings area to review and reopen one-off blocks and closures created from the calendar.
What happens next
Blockouts appear on the calendar and prevent matching teacher, room, or school availability. Calendar closures apply the credit and notification choices you reviewed. Closed dates are used by booking windows, recurring appointments, and make-up availability; their separate cancel all action quietly cancels the full active count without credits or participant notices. Cancelled appointments remain in history.
If you do not see this option
- Block out time requires schedule-management access.
- Facilities or Closed Dates may be hidden by your settings permission.
- A blockout cannot be saved without valid dates, times, and the selected teacher or room.
- The closed-date plus button remains unavailable until both dates are filled in.
- cancel all is disabled when no active appointments overlap the range.
- Trial holds are managed from their source trial lesson and are read-only in the blockout panel.
