Filter, bulk update, or archive leads

Narrow the leads table, apply safe updates to a selected group, and move inactive records out of active pipeline work.

Available when your position includes access to Pipelines; some bulk actions require additional permission.

Use filters and deliberate bulk actions to organize a large lead list while keeping archived history available.

Available to

Anyone with Pipelines access can use the filters available to them. Changing many records, enrolling an automation, controlling AI follow-up, or archiving a lead may require broader access.

Before you start

Open All leads for a school-wide list, or select List view inside one pipeline. Confirm the visible audience before selecting rows. A filter changes what you see; it does not change the underlying leads.

Steps

Filter the list

  1. Use Filter by pipeline to focus on one journey.
  2. Use Filter by stage after choosing a pipeline, or when reviewing archived stages.
  3. Use Filter by tag to find leads your team has grouped for a shared purpose.
  4. Use the won, lost, or archived visibility controls to include or exclude closed work.
  5. Select Save view inside a pipeline if this is a combination you expect to use again.

Update several leads

  1. Select the checkbox beside each intended lead. Recheck the selected count before continuing.
  2. Choose Bulk set stage, select the destination, then select Apply stage.
  3. To group the selected leads, choose a tag and select Add tag.
  4. Choose Bulk assign owner, select a team member, then select Assign.
  5. Choose Bulk enroll automation, select a suitable automation, then select Enroll.
  6. Use AI on or AI off only when the school’s follow-up policy is clear for every selected lead.
  7. Use Broadcast selected (N) to carry only the selected audience into a broadcast, or Broadcast this audience to use the current filtered audience.

Archive one lead

  1. In Board view, open the lead card’s actions.
  2. Select Archive lead when that pipeline card should leave active work but its history should remain.
  3. Use the archived view when you need to find it later. Editing an archived pipeline card from the leads workspace restores the card.

What happens next

Stage, owner, tag, automation, and AI settings update on the selected leads. Archived leads disappear from active work while remaining available in archived history.

If you do not see this option

Bulk controls appear only after you select at least one active row. Stage changes may also require a specific pipeline because stages belong to that pipeline. Ask an owner or admin if an action remains unavailable.
