Record attendance and manage make-ups

Check students in, mark absences, issue eligible make-up credits through cancellation, and place those credits into a new lesson.

Attendance requires calendar-edit access; make-ups also depend on school policy, service rules, active-credit limits, and available sessions.

Record what happened at a lesson and use make-up credits only when the school's policy and the student's balance allow it.

Available to

Internal users with calendar-edit access can record attendance. Make-up actions appear only for eligible services, students, credits, and future times.

Before you start

  • Wait until you know whether the student attended, was absent, or the appointment was cancelled.
  • Do not promise a make-up until the cancellation result confirms that a credit was actually issued.
  • Confirm the student, service, duration, instrument, expiration, and remaining credit units before booking a make-up.

Steps

  1. Select CalendarSchedule and find the lesson.
  2. Open Quick actions. Select Check in when the student attended, or Mark absent when they did not. Use Reset to scheduled only to correct an attendance entry that was made too soon.
  3. For a group session, open View details. Under Attendance, use Check in or the Attendance status control for each participant rather than applying one status to the whole group.
  4. If the lesson needs to be cancelled, select Cancel appointment. Under Credit treatment, choose the reason that matches what happened, such as Client cancellation, Studio credit, Weather credit, or No credit.
  5. Read the policy message. A late client cancellation may issue no credit, and no credit is issued when the student is already at the school's active make-up limit.
  6. Review Notify participants and Notify staff, then select Cancel appointment.
  7. Confirm the result in the lesson details or the client's Credits tab before telling the client a make-up is available.
  8. To use a credit, open the Enroll student quick-action menu and choose Book make-up. Select the student, choose Make-up under Booking type, select the eligible credit, then choose the service, time, teacher, and room shown by the form.
  9. Review the selected credit and appointment, then select Enroll student to book it.

What happens next

Attendance updates the lesson record. An eligible cancellation creates a make-up credit with its own remaining units and expiration. Booking a make-up consumes the selected credit and marks the new appointment as a make-up.

If you do not see this option

  • Attendance actions are unavailable without calendar-edit access or after an appointment reaches a final state.
  • Group sessions use per-participant attendance in View details.
  • The service category may block make-ups.
  • An unpaid one-off lesson is not eligible for a make-up on cancellation.
  • The student may be at the active make-up limit or have no unexpired credit with enough units.
  • No time may match the credit's service, duration, instrument, teacher, room, or booking-window rules.
